Designing new tools for meeting room management.

Evoko is turning the world of meetings into a convenient and delightful experience, giving users a range of tools for video conferencing, wayfinding, and mobile room booking.

We helped Evoke create Naso, a device for the modern workspace that helps you book, manage and guide you to the right meeting room. Above worked on a whole spectrum of services from hardware and backend development to production.

The Challenge

Irrespective of the size of a company, we all experience the same pain points in the modern workspace: finding and booking meeting rooms. Particularly for larger companies, keeping track of meetings and room availability with dated methods is only time-consuming and aggravating. Evoko saw the much-needed demand for a completely new system for workplace meeting room communication.

For this, Evoko reached out to Above to help them create Evoko Naso. With Evoko Naso, we challenged ourselves to turn a daunting, tedious user experience into a delightful one. Above helped the Evoko team realize their concept to create a holistic, intuitive, and dynamic solution within the workspace.

Our Approach

Staying true to our process, which underwent several iterations, we designed, prototyped, and sourced materials to develop an integrated and holistic room booking device that caters to dynamic user scenarios and the office environment. This required a genuine cross-collaborative effort with external partners, UX and visual designers, as well as mechanical engineers, and our development team. The key to a seamless interaction experience was our “across the board” approach, to executing a fully integrated product from the inside out, from creating a custom PCB and backend to screen interactions.

 
 
 
 

Outcome

An approachable,
dynamic solution

Evoko Naso is a physical device with a digital interface. It is placed outside meeting rooms to help users to easily assess and book rooms. Glanceable room states create a more streamlined conferencing flow in the workplace, preventing double-bookings, ghost meetings, and enabling users to snatch a room for spontaneous, unplanned meetings as well.

The interface behaves dynamically and the more the user engages with the device, the more information the device reveals: From afar, users can assess current room availabilities to find a suitable room; approaching the device reveals the day’s meetings.

Installation on any surface, walls or glass windows is a breeze.

Versatile: connect it wirelessly or wire and power it via an AC adapter or directly via the network cable.

What’s behind the surface and the heart of the operation is a custom mainboard, which includes a system capable of running Android, communication peripherals, environment sensors, and the LEDs for the halo frame. A custom stripped-down Android system optimized for the device allows for easy development of the user interface application.
